Overview

My Tasks is a list of tasks Tasks that a the user is authorized to view and launch.

Like This page is structured similarly to the Taskboard, Tasks are sortable by column. In this configuration, you can choose from Name, Business Services, Summary, and Last Runbut My Tasks displays Tasks, while the Taskboard displays Task Instances.

To view My Tasks, click the Clipboard icon in the sidebar menu.

The My Tasks table shows all Tasks included by the selected Filters. On the bottom left, the table indicates the number of records found and last time refreshed. On the bottom right, you can select the page to display. The table will also respond to your scroll wheel or touchpad, allowing you to scroll through the list of Tasks page by page.

Like the Taskboard, the My Tasks table is sortable by column. The default sort order is by Name Task name. You can customize which columns to display by clicking the rightmost icon in the top row of the table:

The following table describes the columns displayed in My Tasks.

Clicking on a Task name will take you to the Task Details page.

If the Task is a member of multiple Business Services, the entry in this column will be:

Last RunThe time when the Task was last run.

There are three filters you can use on My Tasks:Image Removed Search by TaskBusiness Services, and Types.

Search by Task is a simple text search bar that will find matching Task names in the Task column.

The Search bar will only check Task names for matching strings. It will not search for Type, descriptions, or any other column.

The Business Services allows you to display all Tasks belonging to a given Business Service. The Task Types filter allows you to display all Tasks of a given Type. You can select a specific entry or search via freeform type.

Although you cannot create, modify, or delete Tasks in Universal Portal, there are several actions you can perform from My Tasks. To access the Command Menu for a Task, click the three-dot icon at the end of the row: Image Added

You can then perform any of the following actions from this context menu:

To view the details of a Task, simply click on the Task name.

At the top of the Task Details page, you can see the name and description of the Task. Below, you can view the Task Type, the Business Services the Task is a member of, the Self Service GroupTask Version, and when the Task was last run. The buttons to Launch Now, View (in UC), and Show in Taskboard function the same as the corresponding actions in the command menuCommand Menu in the My Tasks list. Below this general information, you can see more details specific to this Task's Typeabout the Task.

The volume of information shown in the Details page can vary depending on the Task Type. The layout differs from the Task Details shown in the Controller, but the fields are logically grouped and can be easily navigated by clicking the menu options from the box in the top left.

If a the Task is part of a workflow, it will also identify any upstream/downstream dependencies will also be identified.

Tasks can be launched from My Tasks by selecting the Launch Now action in the Command Menu at the end of the row, you will see a three-dot icon.

Here you will see a list of commands that are applicable to the task definition. They do not change based on the task type.

With Launch, it will launch the task (more details below).

View (in UC) is experimental and will be removed before release

Show in Taskboard brings you to the taskboard, with a filter of all previous task instances relating to that task definition.

Launching Tasks

Select the three-button icon then select “Launch Now”

A confirmation dialog will come up, if you wish to continue launching the task click “Confirm”, the other option is to cancel.

You will then be prompted with this screen, which gives you the option to go to the Dashboard (which will be renamed to Taskboard).

There is currently an option to copy the system identifier, which has limited value for a citizen automator. That will be removed.

The other option is to close and return to the Task screen.

Launching Tasks with Variables

Following the same launch instructions as above, should a task have variables which need resolution before submission, you will be prompted for the variable values.

After clicking Launch Now, you will be asked to confirm the launch. After launching the Task, a popup will appear announcing that the launch was successful. You can also see the System Identifier of the Task Instance. From here, you have the option to view the Instance in the Taskboard, or close the popup and return to the current page.

If a Task has Variables which must be resolved before launch, you will be prompted to provide values for these Variables.

There is not a separate command to launch a Task with Variables. Simply click the Launch button and you will be taken to this page automatically if Variables are needed.

Give each Variable a value. You will also be prompted for Reason for Launch. Once you submit the variable values, you can select click the Launch Task button. Image RemovedJust like launching Tasks without Variables, you will be asked to confirm the launch.
